Terms of Service
1. Who these terms are between
InputFeed is operated by [LEGAL ENTITY NAME], registered in [COUNTRY] under company number [NUMBER] (“InputFeed”, “we”, “us”). These terms form an agreement between us and the organisation that creates an account (“you”, “your”). If you accept these terms on behalf of a business, you confirm you are authorised to bind it.
By creating an account or using the service you accept these terms. If you do not accept them, do not use InputFeed.
2. What InputFeed does
InputFeed reads supplier invoices and receipts you upload, extracts their contents, lets you review and correct that extraction, and generates files formatted for import into accounting systems. The service is provided as software; we do not provide bookkeeping, accounting, tax or legal advice, and nothing InputFeed produces is a substitute for professional judgement.
3. Accuracy, and the limits of automated extraction
This section matters more than any other in these terms.
InputFeed uses automated systems, including third-party artificial-intelligence models, to read documents. These systems are imperfect. They can misread figures, dates, tax amounts, supplier names and line items, and they can do so confidently and without flagging it.
- You are responsible for checking extracted data before relying on it. InputFeed shows a confidence indicator and flags documents it is unsure about, but the absence of a flag is not a guarantee of correctness.
- You are responsible for verifying every export before importing it into an accounting system, or using it for any filing, payment, return or statutory record.
- Column layouts for the accounting systems we support are built against each system’s published import format, but every organisation configures its own accounts, tax codes and custom fields. Confirm a test import before relying on an export. Where you have edited a layout yourself we cannot check it at all, and the generated file says so.
- We do not warrant that extraction is accurate, complete or fit for any particular purpose.
You remain solely responsible for the accuracy of your books, your tax filings and your payments.
4. Your data, and our role
The documents you upload and the data extracted from them remain yours. We claim no ownership of them.
Where those documents contain personal data, you are the data controller and we act as your data processor. We process that data only to provide the service and only on your instructions. We do not use your invoice content to train artificial-intelligence models, and we do not sell it, share it for advertising, or use it for any purpose of our own. Our Privacy Policy explains this in full.
You are responsible for having a lawful basis to upload the documents you upload, including any personal data they contain.
5. Accounts and access
You are responsible for the accounts you create, the people you invite, and what they do. Keep credentials secure and tell us promptly at support@inputfeed.com if you believe an account has been compromised.
We may suspend an account being used unlawfully, one that threatens the security or stability of the service, or one materially overdue for payment. Where practical we will tell you first.
6. Acceptable use
You agree not to: upload material you have no right to upload; attempt to access another organisation’s data; probe, scan or test the security of the service without our written permission; use the service to build a competing product; or submit content that is unlawful or malicious.
Automated or bulk use that materially degrades the service for others may be rate-limited or suspended.
7. Plans, billing and volume
Paid plans are billed monthly in advance through our payment provider. Each plan includes a monthly volume of processed documents.
- Going over your included volume does not stop your work. You will be asked once per month to confirm per-document overage billing at your plan’s published rate, after which processing continues for the rest of that period.
- On the Free plan there is no overage. Reaching the limit prompts an upgrade; nothing is charged automatically.
- A document counts toward volume when it is processed, regardless of the outcome, because the cost is incurred at that point.
- For accounts managing several client companies, volume is pooled across them and billed once to the account holder.
Fees are exclusive of VAT or equivalent taxes. Prices may change on 30 days’ notice; changes do not affect the period already paid for.
8. Cancellation
You may cancel at any time from the billing page. Cancellation takes effect at the end of the paid period; we do not refund part-months unless required by law. You are responsible for exporting anything you need before your account is closed — contact us and we will assist.
9. Connected accounts
If you connect Google Drive or SharePoint/OneDrive, you authorise us to access only the folder you select, only to import documents from it. We do not modify or delete anything in your storage. You can disconnect at any time, which revokes our access going forward.
10. Availability
We aim to keep InputFeed available and working but do not offer a service-level agreement or uptime guarantee. The service may be unavailable for maintenance, or because of failures in infrastructure or third-party services we depend on.
11. Limitation of liability
Nothing here limits liability that cannot be limited by law, including for death or personal injury caused by negligence, or for fraud.
Subject to that, and to the maximum extent permitted by law:
- We are not liable for indirect or consequential loss, loss of profit, loss of business, or loss of or corruption of data.
- We are not liable for losses arising from inaccurate extraction, from an export you did not verify, or from any filing, payment or accounting entry made in reliance on the service. Section 3 explains why: verification is yours.
- Our total liability in any 12-month period is limited to the fees you paid us in that period.
12. Changes to the service and these terms
We may change the service as it develops. We may update these terms; if a change materially reduces your rights we will give reasonable notice by email or in the application. Continuing to use InputFeed after a change takes effect means you accept it.
13. Governing law
These terms are governed by the law of [JURISDICTION], and the courts of [JURISDICTION] have exclusive jurisdiction, without prejudice to any mandatory consumer or data-protection rights available to you locally.
